1. Introduction Welcome to Mapping Clarity, a service provided by Hirafu Consulting Limited ("we," "us," or "our"). We are committed to protecting your privacy.

This Privacy Policy explains how we collect, use, store, and protect your information when you use our data mapping service (the "Service").

2. Information We Collect

We collect three main types of information:

  • A. Account Data:

    • What we collect: To create and manage your account, we collect your name, email address, password, and company name.

    • Why we collect it: To provide you with access to the Service, bill you, and communicate important service updates.

  • B. Client Data (Your Uploads):

    • What we collect: You upload your own data ("Client Data") for us to process. This data is yours, and you decide what to upload. It may include any information, including the personal data of your own customers.

    • Why we collect it: We collect this only to perform the core function of our Service: mapping your raw data to the targets you specify.

    • Your Responsibility: You are responsible for ensuring you have all necessary rights and consents to upload your Client Data to our Service.

  • C. Automatic Data (Logs & Analytics):

    • What we collect: When you use our Service, we automatically log information, which may include your IP address, browser type, and usage details. We also use Google Analytics to understand how users interact with our service to improve it.

    • Why we collect it: For security, to prevent fraud, to monitor the performance of our Service, and to improve the user experience.

3. How We Use Your Data (Our Process)

Our use of your data is central to our Service, and we are committed to being transparent about it.

  • To Provide the Service: We use your Account Data to manage your account. We use your Client Data to run our rules-based engine and perform the data mapping you request.

  • To Communicate: We use Sendgrid to send you transactional emails (like password resets) and other communications related to your account.

  • To Improve Our Service: We use Google Analytics to analyze usage trends and make our Service better.

Our AI & Data Confidentiality Promise

Our service uses Google's Vertex AI to enhance the data mapping process. We treat your Client Data with the highest level of confidentiality.

  1. No Model Training: Your Client Data is yours. We do not use it to train our own AI models. Furthermore, our agreement with Google (our sub-processor) contractually prohibits them from using your Client Data to train or improve their general-purpose AI models.

  2. Data Segregation: Your Client Data is never co-mingled with or exposed to any other Mapping Clarity client. All processing is done in a secure, isolated environment.

  3. Strict Confidentiality: We, and our sub-processors like Google, are contractually bound to treat your Client Data as confidential. Google's systems are designed to prevent their employees from accessing your data except as legally required, to investigate security/abuse, or with your explicit consent (e.g., for a support request).

4. Data Sharing & Third-Party Services (Sub-processors)

We do not sell your personal data.

To provide our Service, we use a limited number of third-party services ("sub-processors") that may handle your data.

  • Google Cloud (Firebase, Firestore, Cloud Run, Vertex AI): For application hosting, secure database storage, and to perform the AI-powered data analysis.

  • Sendgrid: For sending transactional and service-related emails.

  • Google Analytics: For analyzing website and service usage.

5. Data Retention & Deletion

We believe you should be in control of your data.

  • Client Data (Uploads): We retain your Client Data for 2 years from the upload date, unless you delete it sooner.

  • Account Deletion: If you choose to delete your account, all your data (both Account Data and all Client Data) is deleted immediately from our systems.

6. Your Rights & Control

You have direct control over your data:

  • Access & Correction: You can log in at any time to see your Account Data and all your Client Data (uploads). You can correct your Account Data in your account settings.

  • Deletion: You can delete individual Client Data uploads at any time using the in-app delete button. As stated above, you can delete your entire account and all associated data at any time.

Depending on your location (such as the United Kingdom, Australia, or the United States), you may have additional rights, such as the right to object to processing or request data portability. Please contact us at privacy@mappingclarity.com to make such a request.

7. International Data Transfers

We are a New Zealand-based company, and our clients are located in the United States, United Kingdom, and Australia. Our service providers (like Google Cloud) operate data centers globally.

By using our Service, you consent to your data (including Account Data and Client Data) being transferred to and processed in countries outside of your own, including the United States, which may have different data protection laws. We rely on appropriate legal mechanisms (such as Standard Contractual Clauses) to ensure your data is protected during these transfers.

8. Changes to This Privacy Policy

We may update this policy from time to time. If we make significant changes, we will notify you by email (using the email address on your account) or by posting a notice in the Service.
